Job Title: Development Operations Administrator
Department: Development
Reports To: Director of Development and Communications
Location: Police Athletic League of Philadelphia (PAL) IN-PERSON
Position Overview:
The Police Athletic League of Philadelphia (PAL) is seeking a motivated and detail-oriented Development Operations Administrator to support the Development and Communications team. This role is crucial for managing donor relations, maintaining the Raiser’s Edge database, supporting grant management, coordinating events, and providing administrative support. The ideal candidate is highly organized, process-driven, and passionate about contributing to PAL’s mission of providing safe spaces and enriching programs for Philadelphia’s youth.
Key Responsibilities:
- Donor Database Management and Annual Appeals (60%)
- Oversee the day-to-day management of the Raiser’s Edge database, ensuring accuracy and completeness of donor records, gift entries, and constituent information.
- Process donations and gift acknowledgments daily, manage the monthly and annual development/finance gift reconciliation process, and maintain development database records.
- Implement systems for tracking major gifts and contact reports within the database.
- Utilize database insights and gift trends to execute and analyze special campaigns, direct mail, annual funds, and other giving strategies.
- Produce regular development and campaign reports, analyze data, and create dashboards to monitor progress and inform strategy.
- Assist with the submission and tracking of foundation grant proposals, reports, and direct mail appeals.
- Maintain procedures and standards for grant agreements, pledges, tribute gifts, matching gifts, and other contributions.
- Conduct research to build the donor pipeline, including foundation and major donor prospect research.
- Event Planning and Execution (20%)
- Assist in coordinating fundraising events, including logistics, sponsorship and donor management, and volunteer coordination for signature events including the annual Gala which raises over $1,000,000
- Provide on-site support during events, ensuring smooth operations and positive attendee experiences.
- General Administrative Support and Annual Fund Giving (10%)
- Support the Director of Development in planning and executing annual fund direct mail, Year-end appeals, digital campaigns, and other initiatives as assigned.
- Collaborate with the Communications Department to create digital giving opportunities.
- Track donor solicitation activities and prepare mailing lists for printed materials.
- Prepare donor lists for the Annual Report, ensuring donor recognition preferences are met.
- Maintain the department calendar, tracking and coordinating all major development activities.
- Grant Management Support (10%)
- Assist the Grants Manager in donor tracking and stewardship to ensure all project management elements of the grants process are easily accessible.
- Support research initiatives to identify new grant and partnership opportunities.
- Education – Skills
- Bachelor’s or Technical degree in Computer Science, Information Technology, or a related field.
- Relevant certifications such as AWS Certified DevOps Engineer, Microsoft Certified: Azure DevOps Engineer Expert, or similar.
- Minimum 2 years experience in Raisers Edge platform (required)
- 2-4 years of experience in non-profit development/fundraising (required)
- Outstanding communication skills, both written and oral (required)
- Experience with grants management (preferred)

- $50,000.00 - $60,000.00 per year
